Use Flatbed Scanners

How do I use the flatbed scanners in the Media Lab?

Note: This information can also be found in hard copy next to the flatbed scanners in the Lab.

Instructions

  1. Double click “Scanning Software” on the desktop.
  2. Select the appropriate option depending on the need; “Scan Document” or “Scan Picture.”

If choosing “Scan Document”:

  1. Choose your preview preference. (Default is yes). Hit OK.
  2. Select what you are scanning; Text and Graphic, Text as Image, Editable Text, Editable Text with Graphic. Hit “Scan.”

If choosing “Scan Picture”:

  1. Choose the desired media (Default is “Original from glass” for paper). Hit “Scan.”
  2. Resize the rectangle to fit the desired scanning area. Use the dark black squares to resize.
  3. Click “Accept” to scan the image.
  4. By default, the scan resolution is set to 150DPI for all types of scanning. If the resulting image is unsatisfactory, the resolution can be modifies up or down (usually up for higher quality) by clicking the “Advanced” menu and clicking “Resolution.”
  5. Many other advanced options are available from the “Advanced” menu to adjust the scanned image.
  6. The image is stored in the “Scanned Images” link on the desktop. By default, the program puts the images scanned in a time-stamped folder.

Scan and Save as PDF

How do I scan a document and save it as a PDF file?

For the HP Scanjet 4570c scanner

  1. Left mouse click START
  2. Move to All Programs
  3. Move to Media Applications
  4. Move to Hewlett-Packard
  5. Move to Scanners
  6. Move to and click Photo & Imaging Director
  7. Click Scan Document
  8. Note: there are several ways to scan using the HP scanning program

  9. Select Editable Text or Editable Text with Graphics
  10. Select Destination: Microsoft Word
  11. Click SCAN
  12. Misaligned papers in the scanner should automatically straighten. Adjust border around image if needed using cursor.
  13. Click Accept
  14. Do you want to scan another page into the current document? Click YES or NO
  15. Scanner will display PROCESSING.

  16. Edit finished document at this time if you wish. Processing has difficulty with large font.
  17. Save to file of your choice or to disc.
  18. If you have more than one page you would like to save into the same .PDF file. Save both files, then go to insert and insert pages.
  19. Find the .PDF files you would like to add, and then choose to add either ‘before’ or ‘after’ the current page.
  20. Save the compilation .PDF file and delete the other .PDFs



Scan and Save as Editable Text

How do I scan a document and save it as editable text?

For the HP Scanjet 4570c scanner

  1. Left mouse click START
  2. Move to All Programs
  3. Move to Media Applications
  4. Move to Hewlett-Packard
  5. Move to Scanners
  6. Move to and left click Photo & Imaging Director
  7. Left click Scan Document
  8. Select Editable Text or Editable Text with Graphics
  9. Select Destination: Microsoft Word
  10. Left click SCAN
  11. Misaligned papers in the scanner should automatically straighten. Adjust border around image if needed using cursor.
  12. Left click Accept
  13. Do you want to scan another page into the current document? Left click YES or NO
    • Scanner will display PROCESSING.
    • Edit finished document at this time if you wish. Processing has difficulty with large font.
    • Save to file of your choice or to disc.

For the HP Scanjet 5590 scanner

  1. Open HP Director
  2. Click Scan Document; be sure to place the item you want to scan on the scanner bed, face down.
  3. Select Yes when asked Scan for editable text (OCR)?
  4. If the document you are scanning also contains images, on Original contains graphics? Select Yes. If not, select No.
  5. Next to Scan to, select Save to File and it will be saved as a Rich Text file, which can be opened in Microsoft Word or Word Pad.
  6. Select Scan. It will show you a preview of your scanned image, allowing you to select what part of the scanned document you would like to save. Crop the image, and then select Accept.
  7. It will ask you if you want to scan another document. Follow the instructions according to what you need to do.
  8. Name the scanned file and select its destination (for example, the Desktop), then click Save. It will then process the page.
